Office / Facility Manager

Job description

 The Office Manager is responsible for all activities related to maintaining and improving the general conditions of our 5000 m2 office, ensuring that our colleagues work in an outstanding environment. The Office Manager leads a small team and actively participates in everyday tasks.  

 

Tasks

  • Being in contact with the external partners, solving issues related to third party-service providers (such as cleaning services, suppliers, landlord, language classes, trainings, security, parking etc.) and managing related professional services contracts
  • Being responsible for all office related supplies (groceries, office furniture, stationery, branded stationery, flowers/plants, events etc.)
  • Monitoring/balancing/tracking office budgets, ensuring best quality/value suppliers/products are selected
  • Ensuring that all certificates and documentation related to the office and its service providers are up to date
  • Leading and coordinating reception desk related activities
  • Managing and planning the cleaning services with internal and external resources
  • Supporting the management and staff in every type of duties that might appear
  • Continuous weekly report to management (procurement, EHS, contracts etc)
  • Ensuring that facilities meet regulations and environmental, health and security standards and they are well maintained
  • Supervising the work of the facility team
  • Allocating and managing office space
  • Managing projects: renovations or refurbishments
  • Respond to emergency situations or other urgent issues involving the facility


    Requirements

    Requirements

    • Proven experience within Office / Facility Manager role, facility related experience is an advantage
    • Proven experience in supplier negotiations and managing small teams
    • Excellent oral and written command of English and French
    • Very good interpersonal skills
    • Organizational skills and time management competencies
    • Can-do attitude and hands-on approach to fix issues
    • Ability to show initiative and attention to details
